The register contains the following information about the customer: name, company/community, email address and telephone number. In addition, we ask the customer to indicate the subject of the message and their subject of interest.

11 Registry security principles
Premises where personal data are processed are protected by appropriate structural protection and burglar alarm systems as well as through adequate supervision. Documents and recordings are kept in locked rooms to which outsiders have no access. Only designated persons have access to them.
12 Right of inspection
The data subject has the right to check what information about them is stored in the register. In addition, after a sufficiently precise and individualised request for such an inspection, the data subject has the right to be informed of the information concerning them that is contained in the records. 13 Right to request rectification and erasure of data
The controller must correct any errors in the register concerning the information about the data subject when these have been pointed out by the data subject. The controller is also obligated to check the relevance and up-to-dateness of the information in the register through independent action. The data subject may also require the controller to remove information about themselves from the register. The data protection officer will lead the execution of the measure.
14 Other rights related to the processing of personal data
The data subject has the right to demand a restriction on the processing of their personal data. The data subject also has the right to obtain personal data concerning them which the data subject has provided to the controller in a structured, commonly used and machine-readable form, and has the right to transfer such data to another controller. In addition, the data subject has the right to object to data processing, automatic decision-making and profiling concerning themselves.
15 Data erasure and retention period
The data of the data subject will be erased from the register contact form when it is no longer necessary for the specified purpose, and no later than five years after the end of the need for contact with the data subject. Access rights to the registry become invalid when the controller considers that the user of the system registry no longer needs access to registry data or the right to use such data for a work-related reason.
Oulun Konttivuokraus Oy also erases customer data from the register if the person concerned demands the erasure of the data concerning them based on legislation. However, such data will not be erased if the law requires otherwise or if a competent authority has initiated a process that requires the retention of the data, or if another party has applied to a Finnish court for a protection decision for the data.

3. Grounds for and purpose of keeping the register
Customers
Personal data processing is based on a legitimate interest based on the person’s customer relationship with the company. We do not collect data on persons under the age of 18 without the consent of their parent or guardian. We do not collect sensitive personal information. The information collected only contains information about the person and the organisation they represent and which is necessary for dealing with customer-related matters and marketing.

Right of inspection
The data subject can check the personal data we have stored related to them.
Right of rectification
The data subject may request the rectification of incorrect or incomplete information concerning the data subject. The controller will make the requested changes within 21 working days of the notification.
Right to object
The data subject may object to the processing of their personal data if they feel that the personal data has been processed unlawfully.
Prohibition of direct marketing
The data subject has the right to prohibit the use of their personal data for direct marketing. The data subject may prohibit use of their personal data by unsubscribing from the register via a link contained in all of our marketing emails.

Right of erasure
The data subject has the right to request the erasure of their personal data if processing of it is not necessary. We will process the request for erasure, after which we will either erase the data or provide a valid reason why it cannot be erased.
It should be noted that the controller may have a statutory obligation or some right not to erase the requested information. The controller is obligated to retain accounting material in accordance with the period (10 years) specified in the Accounting Act (Chapter 2, Section 10). Therefore, material related to accounting cannot be erased before the period has expired.
Withdrawal of consent
If the processing of personal data concerning the data subject is only based on consent and not, for example, on the basis of a customer relationship or membership, the data subject may withdraw their consent.

The data subject has the right to demand that we limit the processing of the disputed data until the matter can be resolved.
Right of appeal
The data subject has the right to lodge a complaint with the data protection ombudsman if they feel that we are violating the applicable data protection legislation when processing personal data.

As a rule, personal data is not disclosed for marketing purposes outside Oulun Konttivuokraus Oy.
